IT Support Intern
Purpose of Internship
The internship will provide an opportunity for professional training through support to the team based on the activities:
- Respond to user requests for service, troubleshoot problems, and help develop solutions;
- Support with troubleshooting PC hardware components, desktop operating system software, and application software;
- Work with the accredited service centers in repairs to equipment and arrange for other servicing needs;
- Identify and report system issues to vendors, monitor and test resolution issues sent to vendors;
- Monitor antivirus software and updates, report computers infected with spyware, adware and/or viruses;
- Monitor backup systems and procedures to ensure data security;
- Maintain a log of service requests, solutions and other responses;
- Assist in maintaining inventory records and documentation for equipment;
- Participate in user training for basic hardware and software used within Mercy Corps environment;
- Provide backup technical support for the network, including router, firewall, and wireless access points;
- Maintain open communication and positive working relationship with staff;
- Perform other duties/projects as assigned.
After this internship, the intern will:
- Gain hands-on experience in a wide range of IT functions including but not limited to IT support, IT Systems administration, networking and solutions design and development
- Gain experience in working in a multicultural environment with diverse activities
- Gain experience in working in an international humanitarian organization
- Ability to attend to basic user support queries with minimal supervision;
- Demonstration of participation in applications development and implementation;
- Ability to create technical and end-user documentation;
- Ability to monitor endpoints and ensure they are compliant with Mercy Corps set minimum requirements;
- Ability to generate reports on fault summary, trend analysis reports, weekly, and identify a possible trend.
Knowledge and Experience
- Recent graduate in Computer Science, Information Technology, or Management Information Systems major;
- An understanding of computer networking, cabling, and network file and print services;
- Ability to define problems, collect data, establish facts, and draw valid conclusions;
- Strong verbal and written communication skills;

ICT Systems Administrato
General Position Summary
The primary role of ICT Systems Administrator (ITSA) is to oversee and maintain all aspects of a Mercy Corps Kenya (Head office in Nairobi and all field offices) ICT Systems/infrastructure and effective programs to deliver programmatic impact through savvy application of technology. This includes maintaining networks, servers, and security programs and systems. ITSA manages the upgrade and installation of new hardware and software, performs troubleshooting to address any problems with computer systems, and assesses viruses and potential threats to the organization’s network. S/he will support the use of email, creates and changes passwords, makes suggestions for improvements to computer systems, backup data, and performs data recovery if needed. Also, S/he is responsible for promoting ICT systems within Mercy Corps through research, training, webinars, and how-to guides and by building and managing an active ICT community of practice among team members. ITSA will coordinate with the Regional IT System Administrator, Operations Director, and other designated persons.
Essential Job Responsibilities
ICT Systems Administration
- Read and understand the Mercy corps IT Systems Policy on appropriate use. Orient staff on appropriate use and monitor user activities to ensure adherence to these policies.
- Conduct staff training on computer basics, office applications, and existing networks. Assist, as needed, with developing applications or databases for program and operational staff.
- Responsible use and confidentiality of any information identified as sensitive.
- Regularly update anti-virus programs and ensure the entire network and computers are virus-free.
- Ensure the Global IT Policy and IT Disaster Recovery plan is in place and implemented; coordinate with Internal Auditors on IT audit and compliance requirements.
- Under the guidance of the Regional IT Systems Administrator, undertake the repairing and maintaining of LAN-s, Managing Cisco Meraki Appliances, internet systems, and general IT maintenance and training– as per needs outlined by the Head of Office and Operations Manager.
- Oversee repair of computers and IT equipment at a local level, when possible – facilitate and advise on best, safest and most economical solutions in consultation with the Regional IT Systems Administrator.
- Maintain an efficient Local Area Network for Mercy Corps Kenya offices. Do not change the current design of configurations without written approval after analysis by the Regional IT Systems Administrator and the Head of Office. Current designs are appropriate for the programmatic needs for the office and any additions or changes require prior approval and planning.
- Identify equipment and accessories required for the smooth functioning of computers and IT equipment in Mercy Corps offices. Facilitate the purchase of items through the Procurement Department.
- Manage the creation and deactivation of staff email addresses as requested by HR department
- Assist in administration functions as needed; assist logistics staff in inventorying and tracking IT assets.
- Assist in identifying specifications, relocation, and assembly of any equipment including computers, printers, and accessories in all offices, as required.
- Collaborate with other African and Global IT Administrators in Knowledge sharing and support.
- Ensure that the Local or Online backup system is running smoothly by conducting regular backup checks and offsite backup for Local backup systems or make sure that staff store Mercy Corps data on their Online backup account for an Online backup system.
- Install and configure Cisco Meraki devices and also use the Meraki dashboard in managing, troubleshooting, and proactively preventing network downtimes.
- Provide end user support on M365 usage and troubleshooting. Work closely with the global M365 team in scheduling and hosting M365 training and webinars. Help in designing SharePoint structure for the country team and programs.
- Tracking key advances in technology and innovative applications to keep fresh and updated on latest developments. Understand emerging technology trends and potential organizational impacts.

Accountability to Beneficiaries

Knowledge and Experience
- A minimum of Three years’ experience in information technology systems (IT).
- A relevant university degree in computer sciences is desirable.
- Experience in both hardware and software requirements in local area networking (LAN); experience in the configuration of an internal email system as per the local area networking (LAN).
- Exclusive knowledge of Managing Cisco Meraki Appliances, a good understanding of firewall, traffic shaping and proxy, G Suite, TCPIP settings, Linux, and Windows applications, Microsoft O365 Suite, Web Application programing (Added Advantage), Data analysis and presentation (added advantage).
- Experience in upright maintenance of all internet accounts, Logins, and account status.
- Demonstrated attention to detail, ability to follow procedures, meet deadlines and work independently and cooperatively with team members is required.
- The ability to troubleshoot, plan and design minimal maintenance systems is necessary.
- Ability to troubleshoot and maintain both wireless and cable connections is required.

Ethics & Assurance Manager
General Position Summary
The Ethics & Assurance Manager (EAM) will serve as the Mercy Corps Kenya focal point for ensuring compliance with Mercy Corps’ Code of Conduct and ethics policies and procedures. He/she will examine, review, and analyze records, reports, financial information and management practices to ensure compliance with laws, regulations and Mercy Corps’ policies and procedures and will investigate potential violations of Mercy Corps’ Ethics policies, with an emphasis on fraud and corruption. The Ethics & Assurance Manager will assist the country management team in developing, implementing and monitoring effective financial and operational controls over activities and offices to mitigate risk.
Essential Job Responsibilities
Ethics Incident Response
- Following Mercy Corps’ policies and procedures, serve as country focal point for the internal reporting of any allegations of Ethics violations, including fraud and corruption.
- Liaise with the Headquarters Ethics team, and other teams as needed, in the resolution of all reported fraud and corruption incidents.
- As agreed with the Headquarters Ethics department, conduct inquiries and investigations to determine the facts, circumstances and scope of any fraud and corruption allegations raised.
- Collect, analyze and document the results of fraud and corruption investigations and communicate observations and recommendations with the collaboration of the Country Director, as appropriate.
- Prepare final reports to fully document the investigation and resolution of incidents. Reports will be reviewed by the Headquarters Ethics team.
- Liaise with program teams in implementing the country Community Accountability Response Mechanism (CARM). Respond to Ethics violation referrals received through the CARM.
Ethics Training and Awareness
- Assist the country management team with the implementation of new Headquarters or country Ethics policies and procedures, acting as a catalyst for change and acceptance and supporting smooth implementation.
- In coordination with established onboarding processes, assist with the onboarding of new country team members to ensure awareness and understanding of Ethics policies. Conduct and/or coordinate regular anti-fraud and anti-corruption prevention for country response staff and partners.
- Assist the country management team in determining effective and efficient solutions to operational issues that ensure compliance with Mercy Corps’ policies and donor regulations, mitigate the risk of fraud or corruption, and facilitate the achievement of program objectives.
- Assist program, operations and finance teams with implementing standard procedures or, as necessary, developing and documenting enhanced procedures for high-risk program activities, in particular those providing a direct financial benefit to participants (e.g., vouchers, cash distributions), requiring high value procurement, or the distribution of in-kind goods.
- In coordination with the country management team and program managers, maintain the country-level Risk Register to identify key risks and document strategies to mitigate these risks. Manage the quarterly update process and ensure communication of action plans.
- In coordination with relevant teams, perform periodic internal control reviews of in country financial, procurement, human resource, and logistics procedures.
- In coordination with program and monitoring and evaluation staff, conduct field reviews of program activities to ensure that adequate controls are in place and are functioning properly. Communicate findings and work with the relevant departments to correct weaknesses and improve controls as needed.
- As agreed with the program and finance teams, advise on the development of monitoring plans for partners, including sub recipients, key vendors and other partners that must adhere to ethics policies. In coordination with relevant teams, perform periodic compliance reviews of partners.
- In coordination with the country management team and HQ Finance, assist with the follow-up and resolution of external audit or Mercy Corps Internal Audit findings.
- Perform other related special projects and duties as determined and assigned by management.
- Ensure compliance with security procedures and policies as determined by country leadership.
- Proactively ensure that team members operate in a secure environment and are aware of policies.

Knowledge and Experience
- Bachelor’s degree in finance, accounting or a related business field is required; and an advanced degree is a plus.
- 5 years+ related work experience with a not-for-profit organization implementing international programs or other reputable private sector entities.
- Strong background in compliance, systems and internal controls.
- Relevant experience in fraud investigations or Certified Fraud Examiner (CFE) or Certified Internal Auditor (CIA) designations are strongly preferred.
- Solid understanding of a wide-range of ethics violations, including fraud and corruption in humanitarian and/or development settings; Understanding of best practice in ethics management and accountability within INGOs, including best practices for investigations of ethical violations;
- Demonstrated experience in successfully working with administrative and program staff at all organizational levels.
- Solid organizational and research skills with a broad understanding of various program sectors and activities.
- Demonstrated experience in financial and operational data analysis.
- Advanced computer skills in MS Office programs, particularly Excel.
- Fluent written and oral communication in English.
