Front Office Assistant

Job Specifications
The duties and responsibilities at this level will entail:
- Collection and delivery of mail and other documents/packages or materials as required from and to the post office, government agencies, and other organizations.
- Sorting, packaging, delivery and pick up of mail from various offices on the premises at regular intervals.
- Maintenance of records as required.
- Support the office of the director and researchers in everyday activities
- Monitor and report any faults relating to office equipment and furniture.
- Operate photocopying and printing machines, and filing.
- Ensure the offices, and meeting rooms are clean and all equipment are in good working condition. Organize office tables and surfaces in an orderly manner
- Any other duties as may be delegated by the supervisor.
Person Specifications
For appointment to this grade, a candidate must have the following requirements:
- At least Grade C+ at KCSE and a diploma in a relevant field (Undergraduate degree in social sciences or related disciplines and form a recognized university is an added advantage)
- Have adequate comprehension skills to understand instructions
- Must be computer literate; and have excellent skills in MS Word, Excel, and PowerPoint

Research Grants Finance Officer

Job Specifications
The duties and responsibilities at this level will entail:
- Providing support to project staff by ensuring cost effective utilization of resources;
- Monitoring expenditure of each research grant to ensure expenditure is in line with donors’ objectives, and requirements; and prepare donor financial reports;
- Monitoring projects expenditure against the budgets and provide frequent feedback to the project managers and project staff on budget matters;
- Review field imprest / travel per diems to ensure adherence to set procedures and regulations;
- Process payments and funds transfer to researchers and partners;
- Review partner institutions’ expenditure accounting and prepare funds disbursements;
- Participate in proposal development preparing budgets and other administrative sections;
- Prepare for project audits by continuously reviewing accounts for accuracy and provide support to auditors during project financial audits;
- Ensure proper financial records management and compliance with internal and external requirements;
- Maintain grant reporting requirements and schedules in the Project Management System (PMS) and follow-up on project reports to ensure submission by due dates;

Person Specification
For appointment to this grade, a candidate must have the following requirements:
- Bachelor’s degree in Commerce, or Business Administration or Finance, Accounting, or related undergraduate degree.
- At least three (3) years’ post qualification experience preferably in a research organization.
- Demonstrate knowledge on grant management and proposal writing.
- Research grants management experience.
- Excellent financial management skills.
- Must be computer literate; and have excellent skills in MS Excel and familiarity with any accounting software,
- Experience of working on donor funded projects.
- Proven experience in planning, budgeting and programme control. Strategic thinking, problem solving and decision-making skills.
- Excellent compliance and local regulatory knowledge and management skills.
- Must be a member of a relevant professional body and in good standing;
- Progress towards obtaining Certified Public Accountant (CPA K) or Chartered Certified Accountant (ACCA) equivalent is an added advantage.

Job Specifications
The duties and responsibilities at this level will entail:
- Arranging and handling all administrative activities and logistics for the Institute and the Director’s office. These include research related meetings and events, both internal and external: schedule meetings; draft agenda; develop, compile, and distribute presentation materials; record meeting minutes and communicate action points for various stakeholders;
- Support drafting, editing, and preparing correspondences, reports, and other project related materials;
- Provide administrative and secretariat support to the Institute researchers;
- Facilitate performance of administrative and related tasks;
- Coordinate quarterly tracking of performance of outputs by researchers;
- Coordinate tracking of performance of the Institute;
- Track progress of implementation of research projects and activities and promote projects and the Institute’s visibility;
- Overseeing grant applications and proposal development at the Institute in consultation with the Office of the Director and researchers;
- Support day-to-day operations of the Institute;
- Facilitate acquisition of research permit and ethical clearance;
- Facilitate obtaining of Memorandum of Understanding (MoU) between partners and the University of Nairobi;
- Maintain communication and liaison with relevant University of Nairobi departments and units; and with funders and partners;
