The Role Working under the overall direction of the Head of Business Development the Senior Business Development (BD) Coordinator will play a critical role in the development and realization of an ambitious business development country strategy. The role will support the BDM in market research, identification of emerging trends as well as coordinating specific end to end bid development, which may include but not be limited to synthesis of the opportunity, partner identification and managing of assigned proposal development teams and with a view to leading collaborative teams that promote winning proposals. Under the direction of the Head of Business Development, the incumbent will support the identification of new business development and identify new funding opportunities and ensure appropriate tracking of such bids in line with Plan Kenya systems and standards and oversight for business development end to end business processes for bids as assigned. The Person The position requires the incumbent to have strong experience in partnership building as well as private sector engagement, undertake a wide range of assignments that compete for time and resources, think strategically and drive innovations as needed. The role involves a high degree of problem solving for project contexts and works with project teams to design to deliver results. The position requires an individual with the capability to work with a diverse range of individuals of different cultural contexts. The post holder will demonstrate the ability to problem solve, thinking strategically while introducing innovations as needed to meet the demands of a dynamic and sometimes unpredictable operating environment. Accountabilities and Main work activities Support in the development of opportunities such as proposals, concepts to donors (including institutional, corporate, multilateral, and, foundations, etc.). (40%) • Prepare and develop concept notes and other proposal write ups including proposals; • Monitor, document and highlight new business development to ensure that Plan Kenya is abreast of new opportunities in line with Plan Kenya’s strategic focus; • Support the effective tracking of opportunities on Plan Kenya corporate business development pipeline tracking tool on Plan’s Grant Management Tracking portal whilst ensuring accurate information on databases Representation, Partnerships Engagement and Networking (10%) • Lead in strategic repositioning and build strategic partnerships for new resource mobilization and program development • Build a network of professional business contacts within Plan’s industry including negotiating partnership teaming arrangements, related budgets and other institutional arrangements with partners; • As delegated and under the direction of the Head of Business Development and Partnerships, represent Plan Kenya to donors and partners in line with the an agreed upon Country office response plan; • Attend forums and meetings (including Skype calls) with/or on behalf of the Head of Business Development and Partnerships to represent Plan that will advance its interests to improve its resource base; • Support to mobilize and setup network meetings between Plan Kenya, its partners, donors and other interested parties. Project start-up and Contracting (10%) • Develop Fund Agreement Documents and monitor to ensure contracting is finalized between National Offices (NOs) and Plan Kenya; • Act as a liaison between Grants Department and Business Development Department to ensure there is a harmonized coordination between the departments especially during proposal development (including developing proposal budgets), contracting and hand over of contracted projects to the Program leadership and project staff; • As part of hand over processes, support in setting up new project start up workshops with the program team and designated project staff and other Plan International key staff. Support a high performing team and ensure all relevant departments have the necessary knowledge and skills to acquire and implement sustainable grant funding (30%) • Identify staff training needs and Work together with the Head of Business Development to identify and coach Plan Kenya staff on grants acquisition to ensure there is a steady pool of staff to support the department in its fundraising efforts. • Participate in regular team meetings and contribute to the overall smooth operation of the department. • Support in the development of training materials for staff on Business Development and mentor staff in proposal development as needed; • Take an active role to develop and keep up to date on trends, issues, and solutions pertaining to Plan’s Areas of Distinctiveness Safeguarding Children and Young People (Safeguarding) and Gender Equality and Inclusion (GEI) (5%) • Understands and puts into practice the responsibilities under Safeguarding and GEI policies and Plan International’s Code of Conduct (CoC), ensuring that concerns are reported and managed in accordance with the appropriate procedures; • Leads the orientation of programme staff to ensure that they are properly inducted on and understands their role in upholding Plan International’s safeguarding and GEI policies; • Ensures that Plan International’s global policies for Safeguarding Children and Young People and Gender Equality and Inclusion are fully embedded in project design, during implementation and as principles applied in day-to-day work of Programme team; • Ensures that Plan Kenya contributes to Plan International’s global efforts to ensure safeguarding and GEI, including making sure that relevant reporting and data are submitted. Technical Expertise, Skills and Knowledge Qualifications/ experience essential: • Bachelor’s degree equivalent practical experience, in interdisciplinary areas within human rights, international development and program leadership; • 5 years of demonstrable and relevant experience in managing multilateral and bilateral donor funded grants/contracts and other fund sources; • Experience in private sector engagement will be an added advantage; • Proven experience in proposal writing, concept development, and business cases; • Understanding of multiple donor policies and procedures particularly ECHO, OFDA, Global Affairs Canada, SIDA, DFID, USAID, EC and UN Agencies; • Proven ability to develop, drive and support end to end business development processes; • Proven results-based client/donor relationship management; • Good understanding of gender equality programs and meaningful child participation; • Knowledge of development challenges and contexts in Kenya, in particular in child rights, girl’s rights and child protection; • Demonstrated experience working collaboratively and supportively without the need for close supervision; • Proficient computer skills and use of relevant d esktop applications and internal systems. Child Rights and Safeguarding Advisor

Role Purpose

The Child Rights and Safeguarding Advisor will lead in defining the Country office agenda for protecting children and young people especially girls and keeping them safe from gender based and other forms of violence. S/He will serve as the lead advisor responsible for assessing, designing and guiding a strategy to address violations of children’s rights to protection from abuse, exploitation and violence. S/he will ensure that quality programmes are initiated and capacities developed in-country and with partners to provide protection interventions. S/he will play a leading role in national level child protection coordination working groups and support government efforts to strengthen protection and end violence against children. S/he will collaboratively drive advocacy at the appropriate levels in Kenya and with a view to ending violence against girls and young women.

The incumbent will also contribute in strengthening the internal measures of safeguarding of children and young persons at all levels and efforts to empower them to effectively detect, prevent and respond to all forms of violence, especially Gender Based Violence against adolescent girls and children in and out of school.

This position plays a critical role in ensuring that Plan Kenya continues to be a leading agency in safeguarding children’s rights within the organization and among its partners and associates, as well as advocating for the same.  The position holder will advise on the implementation milestones of the policy on Safeguarding Children and Young People in Plan Kenya and ensuring compliance to the policy by Plan staff, partners and associates.  The position will contribute to business development by supporting intelligence gathering, proposal development, advocacy and donor engagement to deliver on Plan Kenya’s bold ambitions for girls and youth in Kenya.

Qualifications and Experience:

  • Bachelor’s degree with a minimum of 7 years’ experience, 5 of which are in implementing Child Rights programming at local or national level, preferably with an International Non-Governmental Organization.
  • Strong and up to date knowledge of child protection/Safeguarding programmes, protection and safeguarding as well as meaningful youth engagement.
  • A clear understanding of the strategies for engaging with children and young people in programme activities and advocacy.
  • Good understanding of child protection systems in the country.
  • Experience working with civil society and community-based organisations, particularly in Kenya.
  • Result oriented, good interpersonal and communication skills including influencing and negotiation
  • Commitment to Plan values and willingness to abide by Child and Young people Safeguarding Policy and hold others accountable.

Executive Assistant (EA)

ABOUT THE ROLE

The Executive Assistant will provide administrative duties to the Country Director (CD) and support the functioning of Country Management Team (CMT) to ensure high performance and achievement of organizational goals by primarily providing administrative and programmatic support to the CD, CD’s reports, CMT and eCMT.

The incumbent facilitates the country’s senior management meetings (i.e. CMT) and co-ordinates follow up of actions from proceedings of such meetings with the Country Director and Directors [Operations; Program Strategy, Development and Innovation; Program Implementation and Quality] and various departmental heads at Plan International Kenya; ensuring effective communication of various stakeholders (i.e. GH. RH, National Offices, Program Units, PIK Board and other internal and external stakeholders) with the director’s office to enhance organisational effectiveness.

ACCOUNTABILITIES AND MAIN WORK ACTIVITIES

Executive Support Priorities (40%)

  • Provide administrative and programmatic support to the CD and in his/her absence to the Nominee.
  • Manage CD calendar/diary and prioritize multiple tasks for the effective functioning of the CD’s office, ensuring appointments and meetings are well organized, coordinated and logistical arrangements.
  • Provide back-up support to ensure the effective and timely response to requests from Donors, other NGOs, press and media, staff and partners of PIK and PII.
  • Co-ordinate, prepare minutes and compile background materials for CMT, Board and external meetings with officials from Government, UN agencies, Embassies etc.
  • Monitor the implementation of decisions of the Country Management Team (CMT)
  • Liaise regularly with key stakeholders i.e. MEESA RH, GH, NOs and external contacts to ensure effective information and timely actions.
  • Preparing the Delegation of Authority letters when the CD is away, and inform the relevant stakeholders of the same to ensure business continuity.
  • Manage CD’s office expenses by raising purchase requisitions / payments, expense travel report as necessary.
  • Work closely with Communications Department to input on corporate communication to internal and external stakeholders.
  • Update CD’s scheduled meetings on a monthly basis and disseminate to CMT/eCMT/ Staff
  • Provide support to the Director of Operations; Director of Program Strategy, Development and Innovation; Director of Program Implementation and Quality and any other Country Management Team (CMT) member at the discretion of the CD.
  • Support extended Country Management Team (eCMT), Security Review Team (SRT)

Communication, Visibility and Public Relations (20%)

  • Ensure effective communication and documentation to and from the Director’s office while ensuring confidentiality. This includes forwarding mails to respective departments/units.
  • Prepare documentation to support the office of the CD and its functions efficiently and effectively.
  • Act as the initial contact point for the Country Director’s Office, by promptly responding to issues from Senior Leadership Managers.
  • Coordinate documentation for CD’s approval to various internal and external stakeholders.
  • Identify appropriate opportunities to ensure the CD’s visibility and accessibility is maintained, working with relevant departments where necessary, and providing corporate inter- office support
  • Direct requests for information or assistance from external bodies to staff as appropriate and ensuring actions are taken and that good public relations are maintained.
  • Schedule deadlines for different projects/reports with CMT, respective Directors and staff, sending feedback on behalf of the CD
  • Record CMT and senior management meetings/action points and disseminate minutes and CMT decision as appropriate

Appointment / Meetings (10%)

  • Provide logistical and administrative support for the organization of seminars, meetings, workshops, conferences, and training sessions organised through the CD’s office.
  • Manage CD’s heavy calendar requiring interaction with various internal and external stakeholders and coordinate a variety of complex executive meetings
  • Update CD’s scheduled meetings on a monthly basis and disseminate to CMT/eCMT/ staff, prepare agenda items, sharing of minutes and actions.

Travels / Visitors (10%)

  • Coordinate airport transfers and where necessary hotel accommodation for CD.
  • Coordinate the preparation of briefing information for the CD relating to travel/conferences, working closely with departmental colleagues as appropriate.
  • Preparation of invitation/visa letters where applicable for visitors to enable them acquire visas either prior or upon arrival at the airport.
  • Liaise and act as a point of contact for relevant information/enquiry from all parties external to the Country Office Travel

Qualifications/ experience essential: 

  • Bachelor’s degree in business administration or social sciences
  • Minimum four (4) years’ experience in a similar role
