In 2021, USAID Kenya awarded Abt Associates, the Kenya Vector Control Activity. It seeks to build on PMI investments under PMI AIRS and VectorLink. The purpose of the project is to plan, implement, provide technical assistance for, monitor and evaluate critical malaria vector control activities. This includes indoor residual spraying (IRS) and insecticide treated net (ITN) activities for prevention of malaria in Kenya. The project has six objectives: (1) indoor residual spraying and other proven vector control interventions, (2) entomological monitoring and surveillance, (3) ITN durability monitoring (4) data driven decision making to inform strategic deployment of ITNs and IRS, (5) capacity building of Kenya national malaria program and selected counties and (6) continuous net distribution system in the community through multiple channels.  In 2023, Abt Associates shall implement IRS in Busia and Migori Counties and in other counties thereafter as determined by USAID Kenya

The Opportunity

As a Finance and Administrative Assistant, you will be responsible for supporting the finance, accounting and procurement teams in all project activities following all relevant USAID and Abt Associates policies and procedures.

Core Responsibilities  

  • Receiving of invoices for processing, verifying the correctness and completeness of the documentation per DA1 guidelines
  • Facilitation of typing of DA1 forms and preparation of documentation for submission.
  • Verification of validity of vendors Tax documents submitted for procurement and DA1 Processing.
  • Receipt and dispatch to vendors of approved DA1 forms
  • Follow up of refunds from vendors and documentation of the feedback and refunds.
  • Preparation and update of the DA1 tracker for reporting.
  • Office supplies and stationery inventory management and tracking
  • Preparation of Admin requisitions for approval processing
  • Vendor and staff activity payment notifications
  • Petty cash management and tracking
  • Support in office management and logistics.
  • Perform general clerical duties, to include but not be limited to photocopying, scanning, filing, and mailing.
  • Other duties as assigned by the supervisor.

Minumum qualifications

Bachelor’s degree with 2 years relevant work experience

Preferred Qualification:

  • Bachelors Degree in Accounting, Finance, Management, Business, or other relevant field (desirable).
  • 2 years relevant work experience
  • Experience in book keeping and preparing vouchers
  • Prior experience in office administration.
  • Knowledge and experience with Windows, Word, Excel, PowerPoint, and other data processing and graphical presentation software.
  • Ability to assess problems and develop solutions.
  • Excellent inter-personal communication skills and excellent organization skills.
  • Preference for candidates who have experience that relates to USAID-funded projects or other international development experience.
